If you don’t need to create invoices you may skip this step.
Log out and log in again as main user.
Click the link “System Admin” |

You will see the “System Administration” screen. |

Click the link “Billing Code Table”.
You will now see the screen “Edit Billing Codes”: |

This screen enables you to create billing rates (“Billing Codes”) for each of your clients.
Let’s assume you provide services of the type “Consulting” at $80 per hour.
In the dropdown box, select the company that you would like to create the billing code for, for our purposes it makes sense to now create a billing code for the company that you actually created a project for earlier under “Add Project”.
Under “Billing Code”, enter “Consulting”. Under “Value”, enter “80”.
The field “Description” is optional.
Hit the “submit” button.
The billing code is now added: |

Now log out again and log in as the other user you created.
Click on “Projects” and the click on the project recently created: |

Let’s assume the user you created has completed the second task and wants to log his hours.
Click on the respective task. You’ll see the “View Task” screen: |

Click the button “new log”.
Now enter your data: |

Let’s assume the user has worked 20 billable hours.
Select the proper “Billing Code”. (In our example “Consulting”)
Make sure the task is marked “100%” in the “Progress” dropdown.
Click the button “update task”.
The task log has now been created.
Log out again and log in as main user.
Click on the link “Projects” and again on the project you created. |

Click on the tab “Invoice”.
You will see the “Invoice” tab screen: |

Click the button “new invoice”.
You will now see the “New Invoice” screen: |

It is comprised of the following 3 sections:
The invoice status: |

The items that have been added to this invoice: |

The items that are available for invoicing, which are all task logs that
have a “Billing Code”,
belong to tasks that are 100% complete,
and have not been added to any invoice yet:

In the third section, check the box for the task log available. (If there were multiple task logs you could check them all).
If you leave the “0” in the textbox under “Fixed Amount” the amount to be billed for this item will be calculated by multiplying the hours with the respective billing code. If you enter a number then that will be the amount that appears on the invoice regardless of the number of hours.
Click the button “Add selected tasks log to invoice”.
You will now see that the log has been added to the invoice. |

Click the link “view this invoice”.
You will see the “View Invoice” screen for this invoice: |

Click the link “Invoice Style 1”.
It will take you to a PDF view of the invoice. The header will include your company name and all data about the client company will be automatically incorporated: |

You may save this document on your computer and/or print it out for your records. You can also email/fax/mail it to your client.
Just to show you how to keep track of your invoices, click the back button of your browser.
Click “edit this invoice”.
You will see the edit invoice screen. |

Let’s assume the invoice has been sent to the client. In the first section, change the status to “Pending Payment”. Hit “submit”.
(It is noteworthy to mention that once an invoice has been changed to “Pending”, it can no longer be edited from within the “Projects” screen as described above. This avoids confusion. Once an invoice is sent out the project manager should not add any more items to it. If for some reason it is still necessary, you may do it from within the “Invoice” section.)
Now click the link “Invoice” in the main menu. |

You will see the pending invoices by default. Currently, the only one is the one you just created: |

From this screen you can edit invoices at any time by clicking the pen on the left.
Once an invoice is paid you may edit it and change its status to “Paid”.
This way you will always be up to date about all your project related invoices. |
